We must receive a complete and signed New Partner Application form.
This is in fillable PDF format for your convenience. Please complete this form, sign it, and send it back to us. This completed application is required before placing any orders.
All initial orders are due against the DO (Delivery Order) unless otherwise specified.
Note that all quotes are FOT terms and assume a 3% cash, check, or e-check discount unless otherwise specified.
Credit card payments will not benefit from this discount.
Extended payment terms can be requested after our business relationship has been further developed and we have some payment history built with you. A completed credit application will be required.
A monthly service charge of 1.5% per month will be added on all unpaid balances. This is an annual percentage rate of 18%.
Hacea (Seller) will not release additional coffee if there are any existing past-due open invoices on the Buyer's account.
If Hacea (Seller) must take any legal action to collect payment for unpaid invoices, you (Buyer) agree to pay all legal fees associated with such action.
We use Quickbooks to issue invoices. Each invoice will be sent with a pay link that can be used to securely pay your invoice.
All sales and contracts incorporate the provisions, terms and conditions found in the Green Coffee Association ex-dock, ex-warehouse, contract.
Please direct any billing inquiries to Luke Hales at luke@haceacoffee.com.
We have negotiated competitive freight rates with several freight brokerage companies. We would be happy to pass these savings on to you and arrange LTL freight for you.
Please take a look at our coffee receiving instructions here to avoid any issues when receiving your freight. This is a great tool to post near your receiving area at your roastery.
Note that our terms of sale will always be FOT (Free On Truck) unless specified otherwise. FOT is an Incoterm defining that the risk of loss or damage is transferred to the buyer when the goods are loaded onto the truck. We cannot file a claim on your behalf without the damage noted on both copies of the Proof Of Delivery or Bill Of Lading.
Please notify us immediately before accepting any damaged shipments.
We would love to work with you to develop a coffee buying strategy and plan out your coffee sourcing needs. As a boutique coffee importer, our niche is finding the right coffee for your menu.
We are happy to secure any coffee for you on SAS/NANS basis (Sale Against Sample / No Approval, No Sale). This allows you to lock in the quantity and quality of coffee that you need, without risk. Once the coffee arrives, you will have the opportunity to approve or reject the sample.
You can view our harvest and shipping calendar and download our planning template to get started.
Pricing listed on our offer list includes the cost of carry and financing until the expected new crop arrival, unless otherwise specified.
